Data Protection Precautions

Permalink 11:18:18 am, Categories: Home

It seems every second day a new major data breech hits the news. To prevent such catastrophes from occurring in your organization, take these precautions:

1/Password Protect Your PC
Password protect your computer to prevent unwanted access. Change your password at least every quarter or every time you want to prevent someone who may know it (i.e. former employee) from using it.

2/Secure Your Email
Use a spam filter to filter unwanted email. Never send confidential information (i.e. passwords, social security numbers, credit card numbers) via email. Always verify a website’s URL before submitting your private info.

3/Safeguard your PC
Use antivirus and firewall software, and enable Automatic Updates for Windows Security.

4/Protect Your Data Properly
Never rely on external / flash drives, CDs, DVDs, etc. to protect your mission critical data. They can easily fail, get lost, stolen or damaged. Also, manual backups rarely get done or taken offsite.

5/Choose a Reliable Online Backup Company
Find a reliable automated, online backup service that encrypts your data and stores it at two geographically separate, mirrored data centers.

6/Safely Store Your Encryption Key
Print out and store copies of your online backup account info (ID, encryption phrase and/or password) in mulitple secure locations in case you need it to restore your account. For your security, we do not have access to it.

7/Consider File Retention Strategies
For longer retention (particularly if required by federal regulatory compliance such as Sarbanes-Oxley, HIPAA ), create archive files and back them up. For example, create a monthly zip file with the date in the file name.

8/Check Backup Log Files
Periodically check the log files on your backup account to make sure all your files are backing up properly.

With Data Back It Up Remote Data Backups, your data is always safe.
Deleted files, viruses, hard drive crash, corruption, fire, flood or theft? No problem. Files restores are fast and easy.

Why not set it & forget it!

Dispelling 7 Common Misconceptions about Remote Data Backups Services

Online backups are much more important, easy and safe than you might think.

I’ll never need it.
Face it, hard drives are not built to last. Over 6% completely fail in a given year. Data corruption, viruses & worms, hackers and disgruntled employees can all wipe out all your important files. An estimated 25% of all computers suffer a major data loss in a year.

Even if you never need a full hard drive recovery, you’ll likely use our handy rollback feature to quickly restore a previous version of your files. How often have you or your employees accidentally overwritten, deleted or changed an important file, then spent hours trying to find or recreate it?

It isn’t safe to transfer my critical files over the Internet.
Actually, your data is completely safe.
Files are transmitted and stored through Secure Socket Layer (SSL) in bank-level 128-Bit AES encryption using a personal key only you have access to. We can’t see your data - not even filenames - even if we wanted to.

We also protect you against disgruntled employees: You can add or change your password for another layer of security, and recover files 90 days after they’ve been deleted from your backup set.
Our two enterprise, mirrored data centers boast 99.99% historic uptime, using the industry’s best hardware (EMC Storage Machines, Cisco Firewalls) and featuring redundant power with backup generators and redundant bandwidth with multiple providers.

They are separated by over 1000 miles in underground mines to ensure uptime against near apocalyptic conditions.
Both data centers also employ top-level physical security including fingers scanners, motion detectors and camera tracking.

I already back up to Tape, CD, DVD, Zip drive, etc.
Manual backups are tedious, time consuming and unreliable. Fact is, they rarely get taken offsite or done at all. And even if you reliably store them in a safety deposit box, you aren’t protected against natural disasters such as fires, floods, etc. Data Backups is automated, secure, fast, flawless and offsite.

I won’t know how to use it.
Our simple, intuitive software is designed to be fast and easy for the novice computer user to backup and restore their own files. Our Website features simple screen shot instructions and a searchable knowledge base. Questions? Our friendly expert technicians are available toll-free, 24/7 at 866-7-BACKUP.

I can’t afford it.
Automated backups pay for themselves, saving your staff hours each week normally spent on performing manual backups, offsite storage and tricky file recoveries. Our backup plans start at just $9.95 a month.

Why should I trust my mission critical data to an Internet company I don’t know?
